Brings AI into processes
Chooses the matters in which AI saves time, launches the use case and measures the effect
Five free workshops for people who will bring AI into the work of their office and train the other employees. At each workshop, the leaders build one use case in SAIE, and their office receives five SAIE trial licences for the whole of 2027
Five workshops every two weeks, on Thursdays
Knowledge base and search engine for orders
Reply to a resident's letter
Minutes of a council session
Reports for the treasurer
Assigning incoming correspondence with an agent
Leaders build use cases on a digital AI desk with a compliance gateway. The Academy and the licences are free
An AI adoption leader is an employee of the office who combines knowledge of how the office works with the ability to work with AI. They do not have to be an IT specialist
Chooses the matters in which AI saves time, launches the use case and measures the effect
Makes sure that personal data and protected information do not leave secure tools, and that decisions are signed by a human
Runs short internal training sessions using the Academy materials and answers the team's questions
The Academy is open to employees holding a numbered certificate from our training. Up to 2 people from one public entity can join. A pair works well: a person from a subject-matter department and a person from IT or the organisational office
Every public entity whose leader joins the Academy receives five named SAIE accounts free of charge: the TWIN:DESK digital AI desk with the PROXY:AI gateway. The leaders work on them during the workshops and then together with the employees at their office
2 for the leaders and 3 for employees designated by the office. When one leader joins the Academy, the office designates four employees
From 1 January to 31 December 2027. We activate the accounts on 4 January 2027 or within 3 working days of receiving the signed agreement
The office's accounts and documents are kept in our data centre in Poland. The PROXY:AI gateway masks personal data before a query reaches the model, routes confidential data only to local models and logs every use of AI
Each account has an annual Twin:Coin budget for working with models. Usage is visible in real time in the cost panel
E-mail support on working days and the Academy materials in the knowledge base on the leader's account
The licences expire on 31 December 2027 without automatic renewal. Before they expire, the office can download its documents and configurations
We grant the trial licences for the testing period, under a licence agreement together with a personal data processing agreement. The agreement is signed by the head of the entity or an authorised person. Each public entity receives one pack of 5 trial licences
The workshops take place online every two weeks, on Thursdays, and last 3 hours with a break: the first group from 10:00 to 13:00 and, if more than 30 leaders register, the second group from 13:30 to 16:30. At each workshop, the leader builds one use case on their account and launches it at the office before the next workshop
What the leader will build
A knowledge base of the office's orders, resolutions and procedures. An employee asks in plain language, and the answer cites the paragraph and the date from which it applies. Questions without an answer go to the Knowledge Gap Register
What they will learn
Workspaces and roles, versions in force and archived versions, testing the knowledge base on ten questions
Effect at the office
A search engine for one department, built on documents from the Public Information Bulletin (BIP)
Metric
Time needed to find the right provision before and after implementation
What the leader will build
An assistant that prepares a draft reply based on the office's documents, quoting the relevant passage. PROXY:AI masks the PESEL (national ID number) before the query reaches the model
What they will learn
Domain assistant, a prompt built with the Prompt Assistant, checking quotations and the ‘AI drafts, a human signs’ rule
Effect at the office
An assistant for one type of letter and the rule written into an order
Metric
Time needed to prepare a letter before and after implementation
What the leader will build
A transcript of the recording with labelled speakers and timestamps, and draft minutes with decisions and tasks
What they will learn
Transcription within the infrastructure, tasks with an assignee and a deadline, export to Word and PDF, rules for storing recordings
Effect at the office
Draft minutes of the next council or committee session
Metric
Time the council office spends on the minutes
What the leader will build
Budget reports and analyses in which the amounts are calculated by a calculator and every result has a calculation card. Data covered by tax secrecy goes only to a local model
What they will learn
Confidential data profile in PROXY:AI, Twin:Coin budget, cost panel and cost forecast
Effect at the office
A monthly report with a calculation card
Metric
Time needed to prepare the report and the number of corrections
What the leader will build
An agent that proposes the assignment: department, type of matter and deadline. A human approves the plan before it is executed, and every step is logged
What they will learn
Minimum agent permissions, approval queue, entry in the agent register, shutdown procedure and random sample checks
Effect at the office
A 2-4 week pilot plan with a ‘scale or stop’ decision
Metric
Accuracy of assignment in a random sample: 10 letters a week checked from scratch by a person from outside the registry office. As a supporting measure, the share of proposals approved without changes: above 95% for two weeks is a signal to check whether the review is genuine
After each workshop, the leader fills in a use-case card following the CDF methodology: goal, metric, data, risk, human oversight and the decision on next steps. Five cards make a ready-made plan for implementing AI at the office
Trainers: each workshop is run in tandem by Rafał Grzegorzewski and Karol Orzechowski - one demonstrates, the other helps in the chat. Aleksandra Albera joins workshop 2 as a guest
The AI adoption leader certificate is awarded to anyone who takes part in at least 4 of the 5 workshops and submits their use-case cards
The leader is not left alone. For each use case, they receive ready-made materials to train the office's employees in 30 minutes
Script for a 30-minute internal training session
Editable slides, with space for examples from your office
Step-by-step instructions for employees
Safe AI Work Card to complete for each position
Checklist before launching a use case
Exercises on sample documents
The materials are in the Academy knowledge base on the leader's SAIE account, so employees can ask about them in plain language
The number is on the certificate from the training, for example AC-26-2-10-0007. Participants of cycle 1 (September - October 2026) receive a number on request
All it takes is the form below. The first leader from the office also names the person who will sign the agreement. We accept 30 public entities in order of registration
After registration, we send a confirmation and, within 2 working days, once we have checked the office, the agreement for signature and the licence certificate. You return the signed agreement to office@allclouds.pl
Within 3 working days of receiving the agreement, we activate 5 accounts, and the leaders receive invitations to the workshops. First workshop: 28 January 2027
Registration opens on 9 November 2026 and runs until 15 January 2027. You will need the certificate number from our training
Nothing. The workshops, the materials and 5 SAIE trial licences for 2027 are free
In the 2027 edition, we accept 30 public entities, i.e. up to 60 leaders, in order of registration. Further applications go on the reserve list; when a place becomes available, we let you know by e-mail
No. What counts is knowing how the office works and being willing to teach others. We demonstrate every step live, and the leader repeats it on their own account
The number is on the certificate from our training, for example AC-26-2-10-0007. Certificates from the free September - October 2026 edition were issued without numbers: we provide the number on request via the contact form with the topic ‘Training’, after checking the attendance list
We do not record the workshops, but after each one the leader receives step-by-step instructions and the leader pack materials. When a workshop runs in two groups, the leader can join the other group. If you have any questions, we help by e-mail
On publicly available documents, such as orders and resolutions from the Public Information Bulletin (BIP) or recordings of public council sessions, and on anonymised examples we have prepared. The leader enters documents containing personal data into SAIE at the office, in line with the office's rules and the data processing agreement
The head of the entity or a person authorised by them. The agreement can be signed with a qualified electronic signature or by hand, with the scan sent to office@allclouds.pl, by 22 January 2027. We will send the template agreement before registration on request
The licences expire on 31 December 2027 without automatic renewal and do not oblige you to buy anything. In December 2027, we will present a proposal for further work, and the office decides for itself. Before the licences expire, you can download your documents and configurations
Within the Academy, each public entity receives one pack of 5 trial licences. We will prepare an offer for additional accounts
